Privacy Notice (KVKK)

This Privacy Notice has been prepared by İklimant Mühendislik ve Proje Hizmetleri Ticaret ve Sanayi Ltd. Şti. ("VenTrio", the "Company"), acting as data controller, to inform you about the processing of your personal data in accordance with Article 10 of the Turkish Personal Data Protection Law No. 6698 ("KVKK").

Your personal data is processed on the following legal grounds set out in Article 5 of the KVKK:

• Art. 5/2-c: Processing is directly related to the conclusion or performance of a contract
• Art. 5/2-ç: Processing is mandatory for the Company to fulfil its legal obligations
• Art. 5/2-f: Processing is necessary for the legitimate interests of the Company, provided that it does not harm your fundamental rights and freedoms
• Art. 5/1: Your explicit consent for non-essential cookies and commercial electronic messages

5. Method of Collection

Your personal data is collected electronically, through automated or partly automated means, via the quotation and contact forms on our website, e-mail correspondence, telephone calls, communication established through WhatsApp, and cookies.

In accordance with Articles 8 and 9 of the KVKK, and limited to the purposes set out above, your personal data may be shared with:

• Our hosting, e-mail and IT service providers
• Analytics and measurement service providers
• Competent public authorities and judicial bodies (upon lawful request)
• Our legal and financial advisors

Where the servers of certain service providers are located abroad, any transfer is carried out in accordance with the conditions set out in Article 9 of the KVKK.

Your personal data is retained for as long as required by the purpose of processing, taking into account the limitation and retention periods prescribed by applicable legislation. Once the period expires, the data is deleted, destroyed or anonymised.

8. Your Rights (KVKK Art. 11)

As a data subject you have the right to:

• Learn whether your personal data is processed
• Request information if it has been processed
• Learn the purpose of processing and whether the data is used in accordance with that purpose
• Know the third parties to whom the data has been transferred, in Türkiye or abroad
• Request rectification if the data is incomplete or inaccurate
• Request erasure or destruction under the conditions set out in Article 7 of the KVKK
• Request that rectification, erasure or destruction be notified to third parties to whom the data was transferred
• Object to any adverse outcome arising from analysis carried out exclusively by automated systems
• Claim compensation if you suffer damage due to unlawful processing

9. How to Submit a Request

You may submit your requests in writing to our Company address with a wet signature, or via registered electronic mail (KEP), secure electronic signature, mobile signature, or from the e-mail address previously notified to and registered with our Company, to info@ventrio.com.tr, in accordance with the Communiqué on the Procedures and Principles of Application to the Data Controller.

Your request will be concluded free of charge within thirty (30) days at the latest, depending on its nature. If the process requires additional cost, a fee may be charged in line with the tariff determined by the Personal Data Protection Board.
